Status: Non-exempt, Part time (17.5 hours weekly) 

Location: In-person at Vital Communities office in White River Junction, VT 

Hiring Range: $24-$28/hour

The Job at a Glance 

The Administrative Coordinator supports the Executive Director in an array of administrative duties. This role will support Vital Communities’ day-to-day operations and office management. This position is in person and office time in White River Junction is required, even though all other Vital Communities roles are hybrid.  

Job Responsibilities 

  • Ensure that the Vital Communities office is accessible, welcoming and presentable for all guests and staff; ensure staff have the space and supplies they need in their work; greet visitors and respond to general inquiries via telephone, email, or in person 

  • Ensure that office equipment (printer/copier, shredder, phones) is in working order at all times, and maintain shared spaces (including trash and recycling removal, kitchen appliances, office and kitchen supplies) 

  • Leveraging outsourced IT provider where possible, provide day-to-day IT support to staff and track Vital Communities’ inventory of technology hardware 

  • Assist with onboarding and offboarding staff, with a focus on IT and office needs 

  • Open Vital Communities’ mail, distribute it to the appropriate departments for 

           follow up, and deposit and log incoming payments 

  • Serve as initial point of contact with landlord, custodial staff, and office vendors 

  • Field community inquires via phone, email, and in person directing to the appropriate staff member or providing information directly 

  • Occasionally provide IT and note taking support during meetings 

  • Support diversity, equity, and cultural competency efforts by participating in staff training and professional development 

  • Maintain accurate data and support data entry as needed 

  • Perform other related duties as needed 

Knowledge, Skills, and Abilities 

  • Exceptional attention to detail, strong writing skills, well-organized, focused, and goal-oriented, with a high level of initiative, and problem-solving skills. 

  • Technological proficiency, with an ability to learn new software quickly and easily. Prior experience with databases preferred but not required. Software we use includes: Exceed Beyond (in the process of migrating to Donor Perfect), Microsoft Office, SharePoint, Gmail, and other technologies. 

  • Experience organizing complex information in spreadsheets and databases, keeping systems organized, tackling problems for which step-by step directions may not exist, and developing or documenting processes, including job aids. 

  • Discerning decision-making and research skills, as well as a high value placed on confidentiality. Collaborative and able to work both on a team and independently. 

  • Comfortable being the face of the organization and welcoming all who come through the doors or reach out.
