The Job at a Glance
Vital Communities is seeking a Development & Administrative Coordinator to join our Administrative Team. The Development & Administrative Coordinator supports the Executive Director in an array of administrative duties and external relations support, including gift processing and database maintenance, donor stewardship, managing mailings, and support for our annual cycle of fundraising campaigns and events. This role will also support Vital Communities’ day-to-day operations and office management. This is a great opportunity to learn best practices in development and operations. This position is in person and office time in White River Junction is required. This position also collaborates closely with the Director of Finance & Operations. 

Job Responsibilities
  • Coordinate all aspects of the development database, ensuring accurate data input, donation reports, tracking, maintenance, gift entry, and donor acknowledgement.  
  • Coordinate monthly gift reconciliation. 
  • Assist in producing metrics, reports, and tracking of fundraising results. 
  • Coordinate Vital Communities’ digital fundraising strategy, including the monthly donor program and overall digital stewardship.
  • Work in partnership with team members and external vendors on various mailings and administrative tasks, including printing, stuffing, stamping, and sealing.   
  • Provide assistance to donors in a variety of communication modalities.
  • Conduct corporate, individual, and grant prospect research.
  • Assist Programs Director with grants management, including maintaining grants database from pre-proposal through award, and assisting with grant billing and reporting.
  • Print checks for bill payment and deposit checks received by Vital Communities
  • Ensure that the Vital Communities office is accessible, welcoming and presentable for all guests and staff; ensure staff have the space and supplies they need in their work; greet visitors and respond to general inquiries via telephone, email, or in person
  • Leveraging outsourced IT provider where possible, provide day-to-day support for staff and office technology and manage technology elements of staff onboarding and offboarding; track Vital Communities’ inventory of technology hardware
  • Open Vital Communities’ mail and distribute it to the appropriate departments for follow up
  • Serve as initial point of contact with landlord, custodial staff, and office vendors
  • Support diversity, equity, and cultural competency efforts by participating in ongoing training and professional development. 
Knowledge, Skills, and Abilities
  • Qualified individuals will have 3 or more years of relevant experience in the fundraising field, or a combination of relevant education and experience.  
  • Transferable skills include (but are not limited to): experience organizing complex information in spreadsheets and databases, keeping systems organized and people on task, and skills for tackling problems for which step-by step directions may not exist. 
  • Exceptional attention to detail, strong writing skills, well-organized, focused, and goal-oriented, with a high level of initiative, and problem-solving skills. 
  • Technological proficiency, with an ability to learn new software quickly and easily. Prior experience with databases preferred but not required. Software we use includes Exceed Beyond (to be migrated in 2026 to Donor Perfect), Microsoft Office, SharePoint, Gmail, and other technologies.  
  • Discerning decision-making and research skills, as well as a high value placed on confidentiality. Collaborative and able to work both on a team and independently.  
  • Comfortable being the face of the organization, building relationships with past, current and prospective donors and supporters and through participation in events.
