Position Title:            Staff Accountant
Status:                           Regular, Non-Exempt, Part-Time, 20-25 hours weekly
Location:                    Candidates with the ability to be in-person at our office in White River Junction, VT at least once a week are preferred; however, fully remote candidates will receive full consideration
Hiring Range:             $26.32/hr-$31.43/hr

Job Responsibilities
Month-End Close
  • Prepare journal entries, including accruals, prepaids, and adjustments, to ensure accurate monthly financial statements.
  • Reconcile all balance sheet accounts, including bank accounts, credit card accounts, and donor-restricted funds.
  • Perform grant-related reconciliations to ensure proper allocation of funding sources.
  • Review and update financial schedules, such as payroll allocations and indirect cost recovery.
Day-to-Day Accounting
  • Process vendor invoices, verify approvals, and issue payments in a timely manner.
  • Maintain vendor files and track 1099 information for annual reporting.
  • Record incoming payments, track receivables, and follow up on overdue invoices.
  • Assist in invoicing for program and grant-related activities.
  • Process bi-weekly payroll in Paycor, ensuring accuracy in employee pay and deductions.
  • Reconcile payroll data to the general ledger and assist with employee benefit administration.
Financial Reporting and Analysis
  • Assist the Director of Finance in preparing financial reports for board meetings, management, and grant funders.
  • Generate ad hoc reports as requested to support program managers and fundraising teams.
  • Monitor program budgets and provide monthly updates to department leads.
Other Duties
  • Provide support during the annual audit process, including preparing schedules and responding to auditor inquiries.
  • Assist with organizational compliance, including filings for federal, state, and local taxes and reports.
  • Perform ad hoc projects and analyses to support organizational goals.

Knowledge, Skills, and Abilities
  • 2-4 years of experience in nonprofit accounting required
  • Experience with grant accounting and fund tracking preferred
  • Proficiency in QuickBooks Online (QBO) and payroll software (Paycor or Paychex preferred)
  • Strong Microsoft Excel skills, including advanced functions such as pivot tables, v-lookups, and complex formulas.
  • Familiarity with Dynamics 365 or other ERP systems is a plus
  • Excellent attention to detail and ability to meet tight deadlines
  • Strong interpersonal and communication skills
  • Must be able to work independently and collaboratively within a team
  • Must be based in Eastern Time Zone.
